Privacy Policy

Last Updated: April 9, 2025

Welcome to CaseMate Suite, operated by legalcasesuite.com ("we," "us," or "our"). We are committed to safeguarding the privacy of legal professionals who use our self-hosted, subscription-based application (the "Site" or "Service"). This Privacy Policy explains how we collect, use, store, and protect your information when you interact with our website and services.

By using our Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our Site.

1. Information We Collect

We collect information in two primary ways: information you provide directly and information collected automatically during your session.

When you register or interact with our services, you may voluntarily provide us with your full name, email address, profession and/or license number (if applicable), and the last four digits of financial account references used for our calculator tools. You may also optionally provide a phone number for support or verification purposes.

You should not assume that any information entered into the platform is protected by attorney-client privilege. You are responsible for ensuring that your use of the platform complies with your professional and ethical obligations regarding client confidentiality.

Additionally, our self-hosted analytics tools collect certain technical information automatically. This includes your IP address, browser type and version, device identifiers, session activity (such as pages viewed and time spent), cookie consent status, login timestamps, the device used, and your approximate geographic region (at the city level).

2. Use of Your Information

The information we collect is used strictly for the purpose of delivering and enhancing our services. Specifically, we use your data to provide secure access to the Site and its calculator features, to manage account authentication and support two-factor or multi-factor authentication, and to maintain personalized settings and preferences.

We also use this data to monitor performance, detect fraudulent or unauthorized activity, and ensure the integrity and security of our infrastructure. Additionally, your email may be used to send important system updates, account notifications, or other security-related communications. If applicable, we also verify subscription and billing status using your account information.

All analytics and usage tracking are conducted using internally managed, self-hosted tools. We do not use third-party analytics providers or external tracking services.

3. Cookies and Session Tracking

Our Site uses cookies and browser-based storage only for necessary functionality and session control. We do not use third-party cookies, trackers, or advertising services.

Cookies used on our Site fall into three categories: authentication cookies to maintain secure login states, session cookies to track interactions during your visit, and preference cookies to remember your settings, such as language or default view options.

Upon login, you will be presented with a cookie consent banner. By continuing to use the Site, you acknowledge and consent to our use of these essential cookies. You may revoke consent by logging out and clearing your browser's storage and cookies.

4. Who We Share Data With

We do not sell, rent, or share your personal data with any third parties. Your information is never used for third-party advertising, marketing, or profiling purposes.

Access to your data is strictly limited to our internal support and compliance teams, and only for legitimate business reasons, such as technical troubleshooting, fraud detection, and responding to legal or regulatory requests.

To the extent that users upload or enter client-related information into the platform, CaseMate Suite acts as a service provider or data processor with respect to that information. Users remain responsible for determining the lawful basis for processing such data.

5. Data Storage and Retention

All user data is encrypted both in transit and at rest using industry-standard TLS (Transport Layer Security) and AES-256 encryption protocols. Your account information is stored securely in a private U.S.-based datacenter managed exclusively by our internal operations team.

All data is stored and processed within the United States. By using the Site, you acknowledge that your information may be transferred to and processed in the United States.

If a subscription lapses and remains inactive for sixty (60) consecutive days, all personal data associated with the account is automatically and permanently deleted from our systems.

We may retain certain information as required to comply with legal obligations, resolve disputes, or enforce our agreements.

6. Your Rights and Choices

You are solely responsible for the accuracy, legality, and appropriateness of any data you enter into the platform, including any client or third-party information. You agree not to upload or store information that you are not authorized to use or disclose.

As a user, you have the right to access and update your personal information at any time by logging into your account. You may enable or disable 2FA/MFA options, opt out of non-critical email notifications, or revoke cookie tracking by clearing your browser's cache.

If you would like your account deleted or would like to request a copy of the data we have collected, you may contact us at privacy@legalcasesuite.com.

7. California Privacy Rights

If you are a California resident, you may have certain rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). These rights may include the right to request access to the personal information we collect about you, request deletion of your personal information, and request information about how your data is used and disclosed.

We do not sell or share personal information as those terms are defined under California law.

To exercise your rights, you may contact us at privacy@legalcasesuite.com. We will respond to verified requests in accordance with applicable law.

8. Children's Privacy

Our services are intended for licensed legal professionals and are not designed for individuals under the age of eighteen (18). We do not knowingly collect or store personal data from minors. If we become aware that a minor has provided personal information, we will delete it promptly.

9. Data Security

We take data security seriously and employ strong technical, administrative, and physical safeguards to protect your information. These measures include TLS encryption in transit and encryption at rest, encrypted tables within our database, role-based access control (RBAC), session timeouts, and required re-authentication for sensitive actions. We also support multi-factor authentication (MFA) for enhanced account protection.

10. Legal Disclosures

We may disclose your personal information if required to do so by law, or when necessary to respond to subpoenas, court orders, or legal investigations. We may also disclose information to prevent fraud, protect the safety of users, or enforce our legal rights.

11. Policy Changes

We reserve the right to update this Privacy Policy at any time. Updates will be posted on this page with the new effective date. If we make material changes, we will notify users through their registered email address. Continued use of the Site after any material changes to this Privacy Policy indicates your acknowledgment of those changes.

This policy was last reviewed on April 9, 2025.
